Set the Closing Date:
One of the most common complaints from CPAs and Account Pros
about QuickBooks, is that prior year data gets changed after the
financial statments for that period have been used for tax returns
or other important financial reporting events. To avoid this mistake,
it is a good idea to use the "closing date" feature on
your data.
1. Click the word Edit at the top of your screen
and choose Preferences from the pull down menu.
2. Click the Accounting Icon on the left side
of the Preferences window, then choose the Company Preferences
Tab.
3. Now, enter the date through which you wish
to protect your data from changes. A password can be used here to
make it extra secure.
This process does not create any transactions or make any entries
at all, it is simply a date sensitive protection device. Your
CPA will thank you!
Add your favorite screen to the Icon Bar: Don't have a quick
button for the type of screen that you use often? If you have the
Icon Bar showing across the top of your screen (just above the Navigator
screen) you can add one with these easy steps. 1.
Open the screen that you want an Icon for. 2. Click
the View pulldown menu just to the right of File & Edit. (version
2000 and older, click the Window pulldown) 3.
Choose Add " name of screen" to Icon Bar. You will need
to choose an Icon picture from the slider at the left of the window
that appears. You now have a customized Icon to quickly get to an
often used screen.
Changing Account Colors: If your company is using more than
one checking account, it is sometimes too easy to enter a check
into the wrong account. Avoid this problem by adjusting the color
of each account. This will make it easy to spot which account you
are using. Open the register for a checking account. Click the word
Edit at the top of the screen and choose Change Account Color. Choose
one of the preset colors and click OK...or click Define Custom Colors
to create your own. Trial and error is the way to get just the color
you want. Have fun...be Wild!
ALT Key for Keyboard Nuts Only!
Ever wonder what those little lines under the letters on the top
menu are for? By pressing the ALT key on your keyboard you can activate
the word menu at the top of your screen. For instance, pressing
ALT L will activate the Lists pull down menu, now press the underlined
letter to choose from this list; try ALT L V, this will open the
Vendor list. This is very useful when your mouse is not working
well, or if you are using a laptop with a sometimes difficult touch
pad.
Enter Dates the Lightening FAST Way With These Keyboard Shortcuts
When the cursor (the little blinking line) is in the date field
on any type of transaction you can use these keystrokes to get quickly
to a desired date:
 |
| Today |
T |
| First day of the Year |
Y |
| Last day of the yeaR |
R |
| First day of the Month |
M |
| Last Day of the montH |
H |
| First day of the Week |
W |
| Last day of the weeK |
K |
| Up one day at a time |
+ |
| Down one day at a time |
- |
 |
If you can see the pattern, these will be easy to remember. (Hint:
first day = first letter
last day = last letter). Try repeating
the letter over several times, or in combination with each other,
this is a great way to change the date by weeks or months very quickly.
